Job Responsibilities

Perform, coordinate and manage business related activities that include accounting, benefit reconciliations and tax administration. Ensure activities are executed in accordance with all applicable state and federal laws and within the [PEO] contract. Remain current with all company business software interfaces. Work with Manager(s), Service Teams, Operations and President to ensure quality service and resolve issues.

Job Functions

  • Maintains benefit spreadsheets to include the preparation of benefit entries, client/employee accounts analysis and reconciliation
  • Performs benefit reconciliation monthly, verifies all deductions and client benefit transactions, addresses questions and problems from payroll and clients
  • Ensures over/under payments are corrected immediately and all notifications are made to the appropriate parties (clients, employees, payroll)
  • Assists in processing payment of benefit invoices monthly and setting up new accounts as needed
  • Assist in and prepare documentation for monthly and annual benefit audits
  • Assist in benefit set up and maintenance in payroll system
  • Assist in preparation and implementation of benefit enrollments
  • Assist with the completion of and provide necessary information for the 401K and Cafeteria plan 5500 reports
  • Populate spreadsheets with monthly, semi-monthly data for state withholding taxes for 10 states
  • Process state withholding tax payments (monthly, semi-monthly and quarterly)
  • Save payment confirmations and tax return submissions
  • Update tax payment and profitability spreadsheets
  • Verify all tax payments through internal controls
  • Ensure correct clients are reported to each corresponding state as required
  • Keep SUTA password spreadsheet accurate
  • Work with state with-holdings, SUTA payments and returns in tax software
  • Download quarterly tax packages; send to clients as directed
  • Prepare annual tax reconciliations
  • Prepare annual tax filings
  • Assist with tax review reconciliations for federal, state, local and unemployment taxes
  • Upload W-2's
  • Keep W-2 spreadsheets up to date (balanced, file creations, file uploads and printing)
  • Download file confirmation from W-2 processing
  • Participate in strategic decision making, including setting goals and decisions products services as well as mergers and acquisitions
  • Recommends, designs, and implements any necessary department controls
  • Responsible for the file maintenance and record-keeping of  material
  • Attend company meetings as requested
  • Additional job duties as assigned


  • Bachelor’s degree in Business Administration or 5+ related tax/reconciliations experience
  • 5+ years managing or assisting accounting/benefits department for medium sized (250+ employee) company or PEO
  • Knowledge of PEO industry preferred; PrismHR helpful
  • Microsoft Office suite (Excel, Word, PowerPoint) - minimum intermediate skill set a must
  • Master Tax knowledge preferred
